Te Arawa Mahi is vetting candidates to fill two Senior Administrator positions within a prominent, Rotorua-based iwi organisation.
Both roles involve key administration tasks and will require somebody with exceptional time management, organisational and interpersonal skills.
Senior Administrator role one
Key tasks:
- Provide administrative, co-ordination, monitoring and reporting services
- Provide secretariat support, such as minute taking, agenda and papers collation, and logistical needs such as arranging travel
- Co-ordinate the team’s logistical needs in hui planning, meetings, team communication and travel
- Calendar and diary management for the Programme Director
- Provide accurate and timely support to ensure hui and hui participants are productive and produce quality outputs
Key competencies
- A relevant tertiary qualification or similar experience is highly desirable
- Experience in executive administration, supporting senior roles and co-ordination including secretariat/board support
- Previous experience in administration of procurement and contract processes is an advantage
- Experience in relationship management with iwi, Crown agencies and NGOs
- Knowledge of te reo me ōna tikanga
- Ability to self-manage and great time management skills
- Excellent communication skills, especially with iwi
- Flexibility to adapt with changing environments and systems
- Ability to multi-task and work in a fast-paced environments
Senior Administrator role two
Key tasks:
- Managing shared calendars, attending meetings and preparing timely notes from meetings, managing key correspondence and reports, scheduling meetings
- Highlighting or summarising key discussion points from papers sent in advance of meetings, or preparing meeting packs, creating and preparing Board agenda, papers, schedules and correspondence
- Mananging the Board calendar, meetings, action lists, minute-taking, preparation/collation of Board agendas and papers through BoardPro.
- Project administration support, managing small events, creating, overseeing, distributing and filing key correspondence
- Monitoring shared inboxes and preparing or responding to correspondence on behalf of the Practice Manager
- Helping with financial and account activities, which may include invoice, receipt and payment processing and coding, and approvals.
- Monitoring and updating the website
Key competencies
- Excellent communication skills
- Ability to self-manage and great time management skills
- Demonstrated experience in administration and executive support
- Knowledge of accounts entry preferred
- Experience with BoardPro, Xero, Zoom/ MS Teams or similar products
- Ability to build and maintain positive relationships
- Knowledge of te reo me ōnā tikanga
- Punctual, reliable and professional
- Ability to work as part of a team, while taking responsibility for own tasks and delivery
- Ability to multi-task and work in a fast-paced environment
- Able to work remotely (online)
